Agree what will be packed, photographed and checked at each handover. Record arrival condition separately from installation and functional acceptance. A signed delivery receipt alone does not document that every bathroom fixture is complete or working.
| Record | What to make explicit |
|---|---|
| Item-to-carton map | Link room, product model, quantity and accessory packs to carton or crate references. Make split packages easy to recognise. |
| Before closing | Request agreed photos of the item label, supplied parts and visible condition. State which checks are excluded from the packing review. |
| Receiving access | Confirm the delivery point, package dimensions and who will arrange suitable unloading and safe movement into the building. |
| Arrival record | Record carton references, counts and visible issues before installation. Keep useful packaging and labels while a discrepancy is being reviewed. |
| Issue handover | Send a concise item-level record to the agreed contact and check the order's reporting terms. Keep receipt, installation and final acceptance separate. |
Take this into your next conversation.
- Keep the final packing list available to the receiver.
- Assign someone to record missing or visibly damaged items.
- Ask professionals to handle heavy or unstable packages.
- Record installation and functional checks separately later.
